How do I enter a non-cash contribution ie. a person buys cups for $12.50 and wants to donate them, but the church needs to track the expense.

If they have a receipt it can be a like-kind donation that should go on their year-end tax deduction statement.

In kind donations

For your cups I would create an income account called Gifts in kind - goods and an expense account called Donated materials and supplies.

You would then create a journal entry and credit gifts in kind and debit donated materials.

In the memo field list cups you can also place the donors name in the name field and if you use classes assign the appropriate classes.

If you want to DIY your payroll, I highly recommend you look at using Gusto! It is very user friendly and their support is awesome! Plus they know how to set up and maintain payrolls for churches and nonprofit organizations.

Note: I am a "partner" of Gusto, but as I have told you before ... I never recommend anything that we or our clients have not tried and love =)
